Klaxon Sports Privacy Policy

Effective 1 July 2026

This policy explains what we collect, why, and what you can do about it. We have kept it as plain as we can. If anything is unclear, write to us at [email protected] and we will help.

Who we are

Klaxon Sports is run by Klaxon Sports LLC, a limited liability company formed in Wyoming, USA. We are the company that decides how your information is used, which in privacy law makes us the data controller. For anything about your privacy or this policy, contact us at [email protected]. We do not have a Data Protection Officer at our size, so that email reaches the people who handle this directly.

If you are in the European Union or the United Kingdom, you may have the right to have a local representative we appoint. If we appoint one, we will name them here with their address.

What we collect

Right now Klaxon Sports is a pre-launch page where you can join our email list and enter any giveaway or promotion we are running. Here is what we collect when you sign up:

  • Your email address.
  • A username you choose. This is a display handle, not your real name.
  • Your favourite sport or sports.
  • Your favourite team or teams, kept as a simple map of which team goes with which sport.
  • A referral code, and if someone referred you, a note of who that was. Together this forms a referral graph so the promotion can credit the right people.
  • A marketing consent flag and the time you gave it, so we have a clear record that you opted in.

We also collect some technical information automatically:

  • Your IP address and basic server logs (the kind of request, the time, and similar details) so the site runs and stays secure.
  • Simple, anonymous usage information, such as page views, scroll depth, and whether the signup form was seen or started, through our own analytics. It keeps a random ID on your device so we can tell a returning visitor from a new one, and so the site can show you a different video each time you come back. That ID is a random string. It is not your name, it holds no personal data, and it is never used anywhere except this site. Optional cookie-based analytics only run if you consent.

We do not collect sensitive information. We do not ask for your government ID, your financial details, your precise location, your health, or anything California law calls sensitive personal information. Your favourite team is just a sports preference, so it is not treated as special-category data either.

How we group this for US privacy law

California law asks us to label what we collect against its set categories. For California residents:

  • Identifiers: your email, username, and IP address.
  • Internet or network activity: server logs and, later, analytics.
  • Inferences and preferences: your favourite sports and teams.

We do not collect any category California calls sensitive personal information.

Why we use your information, and our legal basis

For people in the EU and UK, privacy law asks us to give a lawful basis for each use. Here is the plain version:

  • To send you our newsletter and launch updates. Our basis is your consent. The signup checkbox is that consent, and you can withdraw it at any time.
  • To run the email list, operate the website, and keep it secure and free of abuse. Our basis is our legitimate interest in building and maintaining our pre-launch subscriber list and protecting the service.
  • To measure how the site performs using our own anonymous analytics, which identify no one. This keeps a random ID on your device so we can count repeat visits and show you the right video. Our basis is our legitimate interest in understanding and improving the site. It collects no personal data and never follows you to other sites. Any analytics that use cookies run only with your consent.
  • To run any giveaway or promotion we offer, which means recording entries, checking referrals, and contacting winners. Our basis is your consent for the marketing part and our legitimate interest in administering the promotion fairly. Each promotion has its own Official Rules, which we describe near the end of this policy.
  • To keep records the law requires, such as proof that you consented. Our basis is our legal obligation.

We do not make decisions about you by automated means that would have a legal or similarly significant effect.

How long we keep it

We do not keep your information longer than we need it. Concrete periods:

  • Your email, username, and preferences: kept while you are on our list. If you never engage with us, we will delete or re-permission your record after about 24 months of no activity.
  • If you unsubscribe or ask us to delete you: we remove you from active lists promptly, normally within 30 days. We may keep a minimal suppression record (your email and the fact you opted out) so we never accidentally contact you again.
  • Consent records: kept while we rely on your consent and for a reasonable period afterward, up to about six years, so we can show your consent was valid if anyone asks.
  • Referral data: kept until the promotion it relates to is finished and any prizes or disputes are resolved, then reduced to the minimum.
  • IP address and server logs: kept on a short rolling basis, normally 30 to 90 days, for security.

Who we share it with

We do not sell your personal information, and we do not share it for cross-context behavioural advertising. To run the service we rely on a small number of trusted service providers. Each acts only on our instructions, under a data-processing agreement, and only handles your data to do its job for us. The categories of provider we use are:

  • Hosting and infrastructure providers that run our website, servers, and database.
  • An email delivery provider that sends our account messages and our newsletter.
  • A security and content-delivery provider that helps keep the site fast and protects it against attacks, and in doing so handles your IP address.

For security reasons we do not list each provider by name on this page, but you can ask us who they are, and for a copy of the relevant safeguards, at [email protected]. For analytics we use our own first-party tool. It keeps a random ID on your device to recognise a repeat visit and identifies no one, and, only for visitors who consent, Google Analytics and Microsoft Clarity; Clarity may record anonymised, masked session interactions to produce heatmaps. These act only on our instructions.

Where your information is processed

Klaxon Sports is a US company, and the providers that run the service for us process data in the United States, the European Union, and other locations. If you are in the EU or UK, your information may be processed in the United States. When that happens we rely on the European Commission's Standard Contractual Clauses, and for the UK the International Data Transfer Addendum, as the safeguard for the transfer. Where one of our providers is certified under the EU-US Data Privacy Framework we may also rely on that, but the Standard Contractual Clauses are our backstop. You can ask us for a copy of these safeguards at [email protected].

Your rights

Depending on where you live, you have some or all of these rights over your information:

  • The right to access a copy of what we hold about you.
  • The right to correct anything that is wrong.
  • The right to have your information deleted.
  • The right to restrict how we use it.
  • The right to receive your information in a portable form.
  • The right to object to how we use it, including an absolute right to object to direct marketing.
  • The right to withdraw consent at any time.
  • The right not to be subject to a decision based only on automated processing that significantly affects you (we do not do this).

To use any of these rights, email us at [email protected]. There is no charge, and we will not treat you differently for asking. Because we usually hold only your email and username, we verify a request by confirming you control the email address on file, for example by replying from it or clicking a link we send there. We will not ask for extra ID for a routine request. An authorised agent may make a request for you.

How quickly we respond: under EU and UK rules we reply within one month, and we can extend by up to two more months for a complex request, in which case we will tell you within the first month. For California residents we acknowledge your request within 10 business days and give a full response within 45 calendar days, which we can extend once by another 45 days with notice.

You can withdraw marketing consent any time by clicking unsubscribe in any email or by emailing us. Withdrawing consent is as easy as giving it, and it does not affect anything we did lawfully before you withdrew.

If you have a complaint

We would rather fix things directly, so please contact us first at [email protected]. You also have the right to complain to a privacy regulator. In the UK that is the Information Commissioner's Office at ico.org.uk. In the EU it is the data protection authority in the country where you live. Contacting us does not take away your right to go to a regulator.

For California residents

If you live in California, you have these rights under the CCPA as amended by the CPRA:

  • The right to know what we collect and how we use it.
  • The right to delete the information we hold about you.
  • The right to correct inaccurate information.
  • The right to opt out of the sale or sharing of your personal information.
  • The right to limit the use of sensitive personal information.
  • The right not to be treated differently for using any of these rights.

The categories we collect, our purposes, the service providers we use, and how long we keep each category are all set out above. We do not sell your personal information, and we do not share it for cross-context behavioural advertising, so there is nothing to opt out of and we do not post a "Do Not Sell or Share My Personal Information" link. If that ever changes, we will add the link and the opt-out before any such activity starts. We do not collect sensitive personal information, so the right to limit it does not apply. If we add analytics, we will honour Global Privacy Control browser signals as a valid opt-out. To make a California request, email [email protected]. An authorised agent may make a request for you, and the response times above apply.

Email and the law on marketing

Our newsletter follows US email law (the CAN-SPAM Act). That means our From and Subject lines will be honest, every marketing email is clearly identified, every one has a clear unsubscribe link, and we act on opt-outs within 10 business days. US law also requires a real postal address in marketing email, and we include the company's mailing address in the footer of every newsletter. For readers in the EU and UK, this lines up with the marketing-consent and unsubscribe rights described above.

Cookies and similar technology

We keep this simple. Today the page uses only essential cookies and tokens: the ones that make the signup form and the referral link work, plus essential security cookies that protect the site against attacks. Essential cookies do not need your consent, but we want you to know they are there. For analytics we use our own tool. It keeps a random ID on your device so we can tell a repeat visit from a new one, and so the site can show you a different video each time. It collects no personal data, only anonymous usage such as page views, scroll depth, and whether the signup form was seen or started, and it is never used outside this site. Because it holds no personal data and never follows you anywhere else, it runs under our legitimate interest and does not need your consent. We also offer optional analytics that do use cookies, namely Google Analytics and Microsoft Clarity; these load only if you press Accept on our cookie banner, and never if you decline. We do not use advertising cookies.

Children

Klaxon Sports is for adults. You must be at least 18 to enter any giveaway or promotion, and the service is not aimed at children. We do not knowingly collect information from anyone under 13, and if we learn that we have, we will delete it. For readers outside the US, we do not knowingly collect information from anyone below the age of digital consent in their country. A parent or guardian can contact us at [email protected] to ask us to remove a child's information.

About our AI anchor

Klaxon Sports is built around Heather Quinn, an AI-generated character. Heather is not a real person. Our content is made with AI and reviewed by a human editor, and that editor of record is carried under the company name. When you interact with Heather you are interacting with an AI persona, not a celebrity, and any information you give us is handled exactly as this policy describes. We label our AI content clearly wherever it appears.

Security, breaches, and how this policy is governed

We take reasonable technical and organisational steps to protect your information, including HTTPS, access controls, and encrypted backups. No system is ever perfectly secure, but if a breach happens that affects you, we will notify the relevant regulator within 72 hours where the law requires, and we will tell affected people where the law requires that too.

We do not make decisions about you using only automated processing that has a legal or similarly significant effect.

This policy is governed by the laws of the State of Wyoming, USA. That choice does not take away the privacy rights you have under the laws of your own country, including the EU GDPR, the UK GDPR, and California law, which continue to apply to you.

Any giveaway or promotion we run is governed by its own separate Official Rules (for a sweepstakes: no purchase necessary, void where prohibited, US and Wyoming law). Those Rules cover entry, eligibility, odds, and prizes. This policy covers how we handle the personal information you give us when you enter.

Changes to this policy

If we change this policy we will post the new version here with a fresh "Last updated" date. If a change is significant and affects how we use your information or your consent, we will tell you directly, for example by email or a notice on the site.
